A secure AI contracts store that files itself
100+ contracts in one secure, searchable place, used every day
The challenge
There was no central place for client and supplier contracts. Team leads held their own copies, so finding a contract, or answering a question about one, was close to impossible. Some contracts, such as those with freelancers, also needed to stay private to the team that manages them.
What I did
- Built the whole service myself using AI coding agents, with no engineering team.
- Designed and built an automated intake workflow: staff email a contract to a dedicated address, and the system does the rest.
- The system reads each contract, categorises it as a client or supplier contract, files it in a secure store and adds it to a searchable database.
- Built in role-based access, so sensitive contract types are only visible to the team responsible for them.
- Ran the AI on an open-weight model hosted locally, so contract content never leaves the business.
- Gave staff AI-powered search and Q&A across the contracts.
- Handed the service over to the in-house team to run.
The outcome
- Over 100 contracts now held in one secure, searchable place.
- Contracts that were scattered across team leads can now be found easily using a local web app.
- Live and used by staff every day, and run by the in-house team.
What this shows
The right AI design starts with the data and the process around it. Automating intake removed the human step most likely to be skipped, a local model made the workflow safe for sensitive documents, and role-based access built trust in using it. Building it with AI coding agents, rather than an engineering team, shows how quickly a well-scoped workflow can now go from idea to daily use.
